Location: Near Sarnia ON Canada

Duration: 7 months - possibility for extension

We are actively recruiting for a skilled Document Control Specialist with intermediate experience to join our team with a client in the Petrochemicals Industry. The successful applicant will be responsible for working on all stages of document preparation and management, file documents for projects, typing contracts, archiving files, and ensuring all team members have access to necessary documentation. To be successful in this role, you should have previous experience reviewing technical documents along with the ability to spot errors. Ultimately, you’ll support procedures maintaining transparent, up-to-date, and easily traceable documents.

Duties and Responsibilities:

  • Receive, send, file, and track document transmittals from Engineering companies and/or construction companies.
  • Document transmittals will be wide ranging from engineering drawings, standards, technical queries (TQY), request for information (RFI), technical notices (TN), and Vendor documents.
  • Access our client’s EPC partners’ Engineering system Documentum and retrieve documents.
  • Maintain documents – example is piping and instrument drawings (PID).
  • Monitor Doc Control mailbox and resolve/implement user’s requests, including specialized historical searches
  • Archive hard copy documents to offsite storage.
  • Populate documents into Hexagon for Commissioning purposes, and complete revision management activities to keep the documents current.
  • Copy, scan, and store documents as needed
  • Check for accuracy and edit files, like contracts as required
  • Review and update technical documents (e.g., manuals and workflows)
  • Distribute project-related copies to internal teams
  • File documents in physical and digital records
  • Create templates for future use
  • Retrieve files as requested by employees and clients
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of agreement
  • Prepare ad-hoc reports on projects as needed

To be successful, you will have:

  • Proven work experience as a Document Controller or similar role
  • Familiarity with project management
  • Hands-on experience with MS Office and MS Excel
  • Knowledge of Electronic Document Management Systems (EDMS)
  • Proficient typing and editing skills, Data organization skills
  • Strong attention to detail ensuring data integrity is a must
  • Strong, interpersonal skills, communication, planning and organizational skills
  • Ability to deliver results within a team environment, and individually, with minimal supervision.



Qualification / Education / Experience:

  • BSc degree in Document Management or relevant technical field - Grade 12 education, plus 8+ years combination of applicable post-secondary education and related experience.
  • Proficiency with computer programs (MS suites)
  • 5 - 8+ years’ experience with engineering records and/or document control environment
  • Strong initiative and problem-solving skills

It would be an asset for the individual in this role to have experience with the following:

  • SmartPlant Foundation
  • MicroStation

Location / Travel / Length of Contract:

  • Near Sarnia ON Region - Site position
  • Contract length TBD (7 months expected)
  • Will consider LOA and Travel Allowance for the ideal candidate not situated locally

Work Environment:

General office work environment and constant exposure to computer display. Daily interaction with office personnel, managers, and other team members.
